Track Your Proposal
Once a proposal is out the door, Sammy keeps a full record of every send and every response. This article shows you where to find that history, what each event means, and how to pull up the exact version (and PDF) your client received.
Where to See Your Send History
Sammy records the same events in three different places, so you can find what you need from whichever page you're already on.
Clients → Activity Timeline
Open Clients in the sidebar, tap the client, and scroll to Activity Timeline. This is the best spot when you're thinking about a person — "what have I sent Sarah lately?" You'll see every estimate and invoice for that client, plus every send and every response in date order.
Estimates → Messages tab
Open an estimate and switch to the Messages tab. This is the best spot when you already know the estimate — "how many times did I send this one, and what did the client do?" It shows only events for that estimate.
Messages (sidebar)
Click Messages in the sidebar to open the Message Centre. This is the best spot when you know roughly when something happened — scroll the full list of conversations across all clients and projects.
Tip: All three pages are reading the same history. Pick whichever matches how you're thinking about the problem — by client, by estimate, or by date.
What Each Event Row Shows
Every interaction is its own row. If you sent the same proposal twice, you'll see two "sent proposal" rows — one for each send. That makes it easy to see the full back-and-forth at a glance.

Each row is tagged with the date and time, so you can line it up with phone calls, site visits, or whatever else was going on.
The v{N} Chip — Which Version Did They See?
Every Sent proposal row shows a small v{number} badge (for example, v7) next to the estimate number. That's the version of your estimate that the client received in that email.
Tap the chip to jump straight into the Version History panel for that estimate, with the exact version they saw already highlighted. From there you can review what was in it, compare it to later versions, or restore it if you want to go back.
This is the fastest way to answer "what was in the proposal I sent on Tuesday?" without having to guess.

Downloading the PDF the Client Received
Next to each Sent proposal row you'll see a PDF chip with the file name. Tap it to download exactly the PDF that landed in your client's inbox — a point-in-time snapshot, not the current state of the estimate.
Handy when:
- The client phones you asking about a figure and you want to see what they're looking at
- You need to re-send the same document to a different email address
- You're checking whether an older version showed the price the client is quoting back to you
Who Was CC'd?
If you CC'd anyone on a send (a homeowner's partner, a property manager, a builder), their email addresses appear on the same Sent proposal row. This makes it easy to remember who was on which send, especially if later sends went to a different list.
Proposal Status (On the Estimate)
The estimate itself also carries a single "current" status (Sent, Viewed, Accepted, Declined, Changes Requested) that shows on the estimates list. That's the summary — the Activity Timeline is the full history.
Status Types
- Sent – Proposal has been emailed to the client
- Viewed – Client has opened the proposal link
- Accepted – Client has accepted the proposal
- Declined – Client has declined the proposal
- Changes Requested – Client has asked for modifications

What Clients See
When your client opens the proposal link, they see a professional document with:
- Your business name and logo
- The proposal details (based on your display settings)
- Three action buttons: Accept, Decline, or Request Changes
- Option to download a PDF copy
Client Actions
Accept
When a client accepts, you'll be notified and the proposal status updates to Accepted. An Accepted row appears on the Activity Timeline. You can then proceed with the job.
Decline
If a client declines, the status updates to Declined and a Declined row appears on the timeline. Consider following up to understand their reasons — you might be able to adjust the proposal.
Request Changes
Clients can request modifications by tapping Request Changes and entering a message explaining what they'd like changed.
When this happens:
- You receive a notification
- The status updates to Changes Requested
- A Requested Changes row appears on the timeline with the client's message
- The client's message also appears in your Message Centre
Replying to Clients
Click Messages in the sidebar to open the Message Centre. Each estimate/proposal has its own conversation thread. You'll see:
- All messages in chronological order
- Change request messages from clients
- Your replies
- Timestamps for each message
To reply:
- Open the thread from the Message Centre
- Type your response in the message box
- Click Send
Your message is delivered to the client's email.
Thread Management
You can organise your messages:
- Archive threads you no longer need to see regularly
- Mark as read/unread to track what needs attention
- Filter threads by status
Getting Notified
You'll receive notifications when:
- A client views your proposal
- A client accepts or declines
- A client requests changes
- A client sends a message
Check your notification settings to ensure you're receiving alerts.
Responding to Change Requests
When a client requests changes:
- Read their message in the Message Centre
- Open the estimate to make adjustments
- Use Sammy to help update the estimate if needed
- Send the revised proposal to the client
- Reply in the Message Centre to let them know the updated proposal is on its way
Each new send creates a new row on the timeline with its own version number, so you can always see what the client has in front of them right now.
Sending Reminders
If a client hasn't responded to your proposal, you can send a follow-up reminder from the estimate detail page.
