Track Your Proposal
After sending a proposal, you can track its status and manage client responses all in one place.
Proposal Status
Each proposal goes through a lifecycle. You can see the current status on your estimate detail page and in the estimates list.
Status Types
- Sent – Proposal has been emailed to the client
- Viewed – Client has opened the proposal link
- Accepted – Client has accepted the proposal
- Declined – Client has declined the proposal
- Changes Requested – Client has asked for modifications
What Clients See
When your client opens the proposal link, they see a professional document with:
- Your business name and logo
- The proposal details (based on your display settings)
- Three action buttons: Accept, Decline, or Request Changes
- Option to download a PDF copy
Client Actions
Accept
When a client accepts, you'll be notified and the proposal status updates to Accepted. You can then proceed with the job.
Decline
If a client declines, the status updates to Declined. Consider following up to understand their reasons – you might be able to adjust the proposal.
Request Changes
Clients can request modifications by clicking Request Changes and entering a message explaining what they'd like changed.
When this happens:
- You receive a notification
- The status updates to Changes Requested
- The client's message appears in your Message Centre
The Message Centre
The Message Centre is where you manage all client communications related to proposals.
Accessing Messages
Click Messages in the sidebar navigation to open the Message Centre.
Message Threads
Each estimate/proposal has its own conversation thread. You'll see:
- All messages in chronological order
- Change request messages from clients
- Your replies
- Timestamps for each message
Replying to Clients
- Open the thread from the Message Centre
- Type your response in the message box
- Click Send
Your message is delivered to the client's email.
Thread Management
You can organise your messages:
- Archive threads you no longer need to see regularly
- Mark as read/unread to track what needs attention
- Filter threads by status
Getting Notified
You'll receive notifications when:
- A client views your proposal
- A client accepts or declines
- A client requests changes
- A client sends a message
Check your notification settings to ensure you're receiving alerts.
Responding to Change Requests
When a client requests changes:
- Read their message in the Message Centre
- Open the estimate to make adjustments
- Use Sammy to help update the estimate if needed
- Send the revised proposal to the client
- Reply in the Message Centre to let them know the updated proposal is on its way
Sending Reminders
If a client hasn't responded to your proposal, you can send a follow-up reminder from the estimate detail page.
