Adding Images to Flex Documents
A Flex document can hold rows of photos: a completion report with a before-and-after under each item, a site induction with a picture of the access point, a handover with the finished work. Each row holds one, two, three or four images side by side, each with its own caption.
Adding a Row of Images#
- Open the document in Flex (on a quote, or in a job's Flex Docs)
- Put your cursor where the photos should go
- Click the Images button on the toolbar and choose a width: One image, full width, Two across, Three across or Four across
An empty row appears with a Pick an image button in each slot. The row keeps that width, so one photo in a three-across row stays a third of the page wide.
Asking Sammy for Rows#
Sammy can lay the rows out for you. Ask him for something like "write a completion report with a photo row under each item" and his draft will carry an empty row wherever a photo belongs, often with a caption already written, such as Before and After.
Sammy never chooses the photos himself. Review and accept his draft as usual, then fill the slots yourself. Until you accept, a slot reads Accept to pick an image.
Filling a Slot#
Click Pick an image on a slot. The picker is the same one your proposal's image section uses:
- Upload new — take a photo or choose one from your device
- Estimate Media — photos already on this quote (on a job's document this section is Job photos: the files on the job)
- Project Media — photos from the project's other quotes and uploads
- Recent — photos from your other recent quotes
Tick more than one and they fill the slot you clicked and the empty slots after it, in order. You can also drag a photo file from your computer straight onto an empty slot.
Captions#
Click under a photo and type. A caption Sammy wrote stays until you change it, and a photo picked into a captioned slot keeps that caption.
Changing or Removing Photos#
- Hover over a photo and click the × in its corner to clear that slot. The caption stays, so you can pick a different photo.
- Hover over the row and click the × at its top right to remove the whole row.
- Press Enter while a row is selected to start typing underneath it.
Clearing a slot or removing a row never deletes the photo from your quote or job.
What Prints#
Photos appear in the PDF, on a printed copy, in the Word download, on a proposal's printed copy of the document and on the job card your crew opens. Photos keep their natural shape, so a portrait and a landscape photo in one row will be different heights.
Empty slots never print. If a row is still waiting for photos when you download, the document simply prints without it.
Word download: Word can't show photos side by side the way the PDF does, so each row's photos appear one under another, each at its share of the width, with its caption underneath.
Deleted photos: if you delete a photo from the quote or job after placing it, the slot shows a broken picture in the editor and the photo is left out of the PDF. Clear the slot and pick again.
