Capturing leads from your website
Put a Sammy quote form on your website, or share it as a link, and every request lands in Sammy as a lead: someone who's asked for a quote but hasn't given you the work yet. Call them, text them or start a quote from what they wrote and the photos they sent. When you win the work they become a client by themselves.
You can also add leads that come in other ways: one you took over the phone, an email you forward to Sammy, or a lead you spot in Gmail or Outlook with Sammy for Chrome.
Lead Capture comes with Sammy Pro and the free trial.
Turn on your quote form#
- Go to Settings, then Integrations, and open Lead Capture.
- Turn on Take quote requests. Sammy makes your form and a link to it straight away.
On a team, the form belongs to the whole team. Only the owner or an admin can turn it on or change it. Everyone else sees the link and the copy buttons.
Put it on your website#
There are three ways, all in the Lead Capture settings. Use whichever suits you.
If an AI looks after your site. Tap Copy instructions for Claude / Gemini / ChatGPT and paste them into the chat. They tell the AI exactly where the code goes on WordPress, Wix, Squarespace, Webflow, Shopify and most other site builders, and how to check it worked. They work in any of the three.
If you edit your site yourself. Tap Copy embed code and paste it where the form should go: a Custom HTML block on WordPress, a Code block on Squarespace, an Embed element on Webflow. Paste it exactly as it is. If your site builder won't run the code (Wix, and cheaper Squarespace plans), copy the instructions instead: they include a version that works there.
If you don't have a website. Tap Copy link. The link opens the same form as a page of its own, so put it anywhere people find you: your Google Business Profile, your Instagram or Facebook bio, your email signature, or a QR code on the ute.
To check it's working, open the page and send yourself a test request. It shows up in Sammy within a few seconds. Afterwards, delete the test request with Delete request (below), then the test lead itself from Actions on its page.
Make it look like yours#
Under How it looks you can change:
- Heading: "Get a quote" unless you change it.
- Intro line: one optional line under the heading.
- Button colour: pick a colour or type one in, like #0E7490.
- Theme: Light, or Dark if your website has a dark background.
Your logo and business name come from Settings, Business. Changes save as you type, and the preview beside them shows what your customers see. The questions on the form are the same for everyone.
What your customer sees#
Your logo and business name, your heading, then:
- What do you need done?
- Photos (optional, up to five). Big photos are shrunk on their phone first, so they send quickly.
- Suburb or postcode
- Name, Phone and Email: at least one of phone or email.
They tap Send request and see a thank-you saying your business has their request and will be in touch. Sammy never emails or texts them, so your reply is the first thing they hear back.
If you turn the form off, anyone who opens it sees that you're not taking online requests right now, with your phone number so they can call you instead.
Where your leads land#
You get a notification straight away, like "New lead: Sarah K.", and so does everyone on your team. Tap it to open the lead. You can turn these off under Leads in your notification settings (see Managing your notifications).
Your clients page has two lists, Clients and Leads. Tap Leads to see your leads, newest first, with what they need and how to reach them. The number on it is how many nobody has opened yet.
If someone who's already in your clients sends a request, it goes on their record instead of making a new client, matched by their email or phone. Their details aren't changed by anything typed into the form. You get the same notification, so you can open their request from there.
The request card#
Open a lead and their request sits at the top of the page: what they wrote and their photos (tap one to see it full size). Anything you've added to their quote shows under On the quote. The line above it says when and how it came in, like Lead · 4:42am from your website.
- Contact details lets you call, text or email them, or copy their number or email.
- Start a quote starts a new quote with their words and suburb or town as the job description and their photos attached, and opens it so you can get Sammy going. After that the button reads Open quote.
- Add photos and files opens that same quote (starting it if there isn't one yet), where you can add photos, videos, plans and documents the way you do on any quote. Got attachments on an email? Save them, then add them here. They show on the lead's page under On the quote.
- The ⋯ at the top right of the card has the rest:
- Mark as client if you've won the work some other way.
- Not going ahead if it's gone nowhere. They come off your Leads list but stay in your clients. If they ask again later, they're back on your leads. Back to lead undoes it.
- Delete request removes that one request and its photos, never the client. Use it for spam and test requests. If the only request was spam, you can then delete the client from Actions.
If someone has sent more than one request, the older ones are under Earlier requests, each with its own Start a quote.
Leads move on by themselves#
A lead becomes a client as soon as you win the work: their quote is accepted, you log a job for them, or you raise an invoice for them. Once one of their jobs is finished, they show as a Customer. You don't need to move anyone by hand.
Add a lead yourself#
For the call you took on site, or the neighbour who flagged you down at the servo:
- Go to Clients.
- Tap + New, then New lead.
- Write what they need, then their name and contact details, and save.
They land in your leads like a form request. You can also ask Sammy to add one for you, for example "Add Dana Reyes in Glebe as a lead, she wants a quote for a new deck".
Forward a lead email to Sammy#
Got an enquiry by email, from hipages, your website or the customer themselves? Forward it to leads@withsammy.ai. Sammy reads out the customer's name, phone, email, suburb or town and what they need, and adds them to your leads with up to five photos from the email.
Send it from the email address you sign in to Sammy with. Forwards from any other address are ignored.
If your email provider says a forward didn't really come from you (it failed your domain's email security check), Sammy won't add it and sends you a notification instead; add the lead with New lead or Sammy for Chrome. That's rare, and it usually means something changed the email on the way.
If Sammy can't find a lead in what you forwarded, like a newsletter or a supplier's price list, he tells you in your notifications. He never replies to a forwarded email and never emails your customer.
Add a lead from Gmail, Outlook or any web page#
Add Sammy for Chrome from the Chrome Web Store. The link is also in Settings, Integrations, Sammy for Chrome.
It adds a lead without any copying and pasting. Open the email in Gmail or Outlook (or select the person's details on any page), click the Sammy icon in Chrome's toolbar, and Sammy fills in their name, phone, email and what they need. Check it, tap Add lead, and they land in your leads like a form request. Open in Sammy takes you straight to them. Attachments on the email don't come across: save them, then tap Add photos and files on the lead.
The first time, tap Connect to Sammy in the extension. A Sammy tab opens. Sign in if it asks, and once it says "Connected" you can close it. You need Sammy Pro or the trial to connect.
Sammy for Chrome only reads the page you're on when you click its icon, and it can only add leads. It can't see your quotes, invoices or clients. To stop a computer adding leads, go to Settings, Integrations, Sammy for Chrome and tap Disconnect next to it.
Getting spam?#
Delete it with Delete request. If a lot is coming through, go to the Lead Capture settings and tap Get a new link. The old form and link stop working within a minute, so copy the embed code again and paste it on your website, and update the link anywhere you've shared it.
Good to know#
- If your plan lapses, your form keeps working, so nobody's request gets lost. New leads still land in Clients. You can turn the form off, but changing it needs Pro again (see Managing your subscription).
- The form is tiny and loads only when someone scrolls near it, so it won't slow your website down.
- The form shows a small "Powered by Sammy" link underneath it.
- What your customer types and the photos they send are only seen by you and your team. A photo goes into a quote only when you start one from the request.
