Letting your crew log what they did

Your crew can log the work from the job card link on their phone: a note or a voice message, their hours, the parts they used, and photos of the finished job and any dockets. Nothing changes on the job until you approve it.

What your tech sees#

Open the job, tap Job Card, then Share, and send the link. Anyone who opens it sees the card with an Updates section at the bottom and two buttons: Add an update and Mark job done.

The first time they add an update, they type their name and phone number. Their phone remembers it, so after that it's one tap.

Sending an update#

  1. Tap Add an update.
  2. Write what was done, or tap the microphone and say it. "Found the fault and fixed it, took about an hour, grabbed a part from the wholesaler, thirty-eight dollars inc." Sammy writes it out so they can fix any words it misheard.
  3. Put the hours in if they'd rather not say them.
  4. Add photos or videos: the finished job, the parts used, the docket from the wholesaler.
  5. Tap Send.

The update shows in their list as Sent, then Seen once you've opened it, then Approved. They never see prices.

When the job's finished, they tap Mark job done. You get a notification either way.

What you see#

Each update lands on the job under Crew updates, above the costs, and your dashboard shows how many are waiting across all your jobs. Open one and you'll see the note, the photos, and the lines Sammy read out of it:

  • Labour: the hours, costed at the job's hourly rate (or the quote's labour lines, or your connected system's rate), and priced at this job's charge-out rate, your labour rate rules, or your connected system's charge-out.
  • Materials: what they bought, at the figure they gave (Sammy takes a bare figure as including GST and says so). A docket in the photos is read too, so the keys on the docket and "two keys" in the note don't count twice.
  • Other: a callout, parking, tip fees. Sammy leaves a callout at $0.00 for you to price unless they said what it was.

Fix any line, add one, or untick Bill on a line you don't want to charge for. Sammy lists anything it wasn't sure about underneath, like "The note didn't say how many keys".

Tap Approve to put the costs on the job and, on a do-and-charge job, the lines on the work-done sheet. Tap Dismiss if it was sent by mistake; the photos stay on the job either way. A Mark job done update offers to mark the job complete when you approve it.

Good to know#

  • Only people with the link can send updates, and only you (and your team) can approve them. Turn the link off from Share and the updates stop with it. Closing the job turns it off for good.
  • Updates work on fixed-price jobs too. There, approving records the costs only, because the client's price is already fixed. If the work is extra, raise a variation.
  • Recordings aren't stored. Only the words Sammy wrote out are kept, and the tech can read and fix them before sending.
  • Photos and videos a tech sends go into the job's Files, off the card until you put them on it.

Still stuck?

Ask Sammy about it.

Sammy has read every article here. Log in and he can look at your quotes, jobs and invoices too. If he can't sort it out, he'll pass you to a real person on the team.
