Logging a do-and-charge job
A do-and-charge job is work you do first and bill afterwards, at your rates, with no fixed price up front. A client rings, the alarm's gone off, a tech goes out, and you invoice the hour, the callout and the parts. Sammy's jobs can run this way as well as the quoted way.
Two kinds of job#
When you log a won job, you choose which kind it is:
- Fixed price: you quoted it, the client accepted, and you bill the accepted price (or claim it in stages). This is the job as it's always worked in Sammy.
- Do and charge: there's no quote. Your crew logs what they did from the job card, you approve it, and the hours and materials go on a work-done sheet you invoice whenever you like.
Everything else about the job is the same: the site, who to call, the job card, the photos and files, the costs, the schedule, and the documents you write on it.
Log the job#
- Go to Jobs and tap + New, then Log a won job.
- Tap Do and charge at the top of the form. Sammy remembers your choice for next time.
- Give the job a short title if you want one, like "Call-out, 12 Smith St". Your jobs list shows it instead of the client's name, which helps when the same client has twelve jobs on the go.
- Under What's the job?, write what the job is and what the tech has to do. Tap Dictate and say it if that's quicker. You can leave this for later and fill it in on the job card.
- Add the client's PO number if they gave you one.
- Pick the client, and the project folder and site address if you have them.
- Tap Log job.
The job opens on its hub, marked Logged, with Do and charge in the facts under its title.
Agree your terms first (optional)#
Instead of a contract, a do-and-charge job has a Terms card. If you want your rates sheet or the client's work order signed before you start, upload it there and tap Send for signature: your client signs it the same way they'd sign a contract, and the job reads Terms agreed. If nothing needs signing, tap Skip or Mark as agreed.
Send the job card to your tech#
Open the Job Card and tap Share. Your tech gets a link that opens on their phone with no login: the title, the summary you wrote, the site with directions, who to call, and a place to log what they did. See Letting your crew log what they did.
Approve the work#
When a tech sends an update, it shows on the job under Crew updates and on your dashboard. Open it, check the hours and materials Sammy read out of it, fix anything, and tap Approve. Approving does two things at once:
- the hours and materials go into the job's costs, at what they cost you;
- the same lines go onto the job's work-done sheet, at what you charge.
Sammy prices labour from this job's hourly rate, your labour rate rules, or your connected system's charge-out rate, and asks you once when it has none. Materials get your usual materials markup. You can change any figure before you approve.
Invoice the work#
Money in on the job shows Billable so far: everything approved and not yet invoiced. Tap Invoice work done and every line on the sheet goes onto the invoice, itemised, with the PO number as the reference. The sheet closes once it's invoiced, and the next approved update starts a new one. Invoice after every visit, or let the sheet build for the month.
The Work done section lists what's on the current sheet and the sheets you've already invoiced. Open in composer lets you edit the lines, add a line by hand, or ask Sammy to adjust them, the way you would on a quote.
Good to know#
- You can change a job from one kind to the other from the ⋯ menu under Change billing basis. If a do-and-charge job has work on its sheet that isn't invoiced yet, switching it to fixed price keeps the sheet but hides Invoice work done until you switch back.
- A do-and-charge job doesn't have a contract sum or a budget, so the costs section shows what you've spent without a comparison.
- Approving a tech's update on a fixed-price job records the costs only. If the work is extra, raise a variation.
