Managing Your Clients
Keep track of all your clients in one place. The Clients section stores contact details and shows a complete history of estimates and invoices for each client.
Accessing Clients
Click Clients in the sidebar navigation to view your client list.
Viewing Your Clients
The Clients page shows all your clients with their key details:
- Name
- Business name (if applicable)
- Phone
You can switch between Card view and List view using the toggle at the top of the page.
Use the search bar to find clients by name, email, or phone number.
Adding a New Client
- Click Add Client in the top right
- Choose whether this client is an Individual or a Company:
- Individual – a single person, like a homeowner. You'll enter one Name.
- Company – a business. You'll enter the Business Name, and (optionally) a Contact Name for the main person you deal with there.
- Fill in the rest of the details:
- Email – Contact email address
- Phone – Contact phone number
- ABN – Their business number (if applicable). This shows on the documents you prepare for them and, if you use Xero or Ascora, is sent across too.
- Address – Their address
- Click Save
Tip: Picking Individual or Company helps Sammy address documents correctly and keeps company names and people's names from getting mixed up — especially when your clients sync to Xero, Simpro, ServiceM8 or Ascora.
Viewing Client Details
Click on any client to open their detail page. Here you'll see:
Contact Information
All the details you've saved for this client, which you can edit at any time.
Contacts
Some clients — especially companies — have more than one person you deal with, like a site manager, an accounts person, and the owner. The Contacts section lets you store them all under the one client.
- The main person you entered when you created the client shows at the top, marked Primary.
- Tap + New contact to add another person. Give them a name, and optionally a role (like Site Manager, Accounts or Owner), an email and a phone number.
- Edit or remove any contact you've added at any time.
When you send a proposal, you can choose which contact it's addressed to and Cc the others — see Send Your Estimate as a Proposal. You can also set which contact an estimate is prepared for right on the estimate itself, so the correct person shows on the proposal and PDF before you send.
Activity Timeline
A chronological history of every interaction Sammy has recorded for this client. Each event is its own row, so if you sent the same proposal twice, you'll see two separate "sent proposal" rows — one for each send.
You'll see:
- Estimate created — when you started an estimate for this client (dated at creation, not when the status changed)
- Sent proposal — every time you emailed a proposal. Each row shows the estimate number, a v{N} chip for the version the client received, and a PDF chip you can tap to download exactly what they got
- Viewed — when the client opened the proposal link
- Accepted — when the client tapped Accept
- Declined — when the client tapped Decline
- Requested Changes — when the client tapped Request Changes, with their message shown inline
- Downloaded PDF — when the client downloaded the proposal PDF from the viewing page
- Invoice raised — when you created an invoice for this client. If the invoice is currently paid or overdue, a small pill next to the event shows the current state
This gives you a complete picture of your relationship with each client — not just a summary, but the full back-and-forth.
Tip: Tap the v{N} chip on any "sent proposal" row to jump straight to the Version History for that estimate, with the exact version the client saw already highlighted. See Finding Past Proposal Sends for more ways to track down an earlier send.
Linked Projects
Any projects associated with this client, showing:
- Project name
- Status (Active, On Hold, Completed, etc.)
- Quick link to project details
Editing Client Details
- Open the client's detail page
- Click Edit or the pencil icon
- Update the information
- Click Save
Deleting a Client
- From the Clients list, click the menu icon on the client row
- Select Delete
- Confirm the deletion
Note: Deleting a client is permanent. Consider whether you need to keep the client for historical records.
If the client is attached to a project, Sammy won't let you delete them — every project needs a client. Delete the project first, or open the project and change it to a different client, then delete the client. Their estimates and invoices are kept either way; they just lose the link to the deleted client.
Clients and Estimates
When you create an estimate, you can link it to a client. This:
- Pre-fills the client's email when sending proposals
- Associates the estimate with the client's activity history
- Makes it easy to find past work for that client
Tips
- Keep details current – Update email and phone when they change
- Use business names – Helps when dealing with companies rather than individuals
- Check history before quoting – Review past estimates to inform pricing
