Finding Past Proposal Sends

Sammy keeps a record of every proposal you've ever sent — including the exact PDF the client received, the version of the estimate it was based on, and anyone you CC'd. Here's how to find what you're looking for, no matter what you remember.

The Quick Answer

There are four main ways to find a past send. Pick the one that matches what you already know:

Messages (sidebar) → scroll to the date

Open the estimate → clock icon → find the "Sent to…" line

All four routes show the same records — they're just different ways in.

I Know the Client

If you remember who you sent it to:

  1. Click Clients in the sidebar
  2. Tap the client's name
  3. Scroll to Activity Timeline

The timeline shows every estimate, invoice, send, view, and client action for that client in date order. Find the Sent proposal row you're after.

I Know the Estimate

If you're already looking at the estimate, or you remember the estimate number:

  1. Open the estimate from the Estimates page
  2. Switch to the Messages tab

The Messages tab shows every send and every response for that estimate. If you sent it three times, you'll see three rows.

I Know Roughly When

If you remember the rough date but not the client or estimate:

  1. Click Messages in the sidebar
  2. Scroll back through the conversations until you see the date

Each conversation is grouped by client, with the most recent messages first. Scanning by date usually gets you there fast.

I Know the Version

If you already know which version of the estimate was sent (e.g. "it was v7"):

  1. Open the estimate
  2. Tap the clock icon in the editor header to open Version History
  3. Find the version you're after — any version that was sent to a client shows a "Sent to Name · date at time · View thread →" line underneath

Tap View thread to jump straight to the Message Centre conversation where that version was sent.

What Each Row Tells You

Every Sent proposal row shows:

  • Who you sent it to — the recipient's name or email
  • When — the date and time the email went out
  • The version — a v{N} chip you can tap to see exactly what was in the estimate at that moment
  • The PDF — a chip with the file name you can tap to download the exact PDF the client received
  • Any CC recipients — the email addresses of anyone else on the send

You'll also see separate rows for what the client did afterwards — Viewed, Accepted, Declined, Requested Changes, or Downloaded PDF — each with its own date and time.

A Common Example

"The client is on the phone asking why their proposal shows $12,400 but I thought the latest one was $13,200."

  1. Open the client from Clients
  2. On the Activity Timeline, find the most recent Sent proposal row
  3. Tap the v{N} chip — you're now looking at the exact version the client has in their inbox
  4. If it's an older version, send them an updated one

No digging through emails, no guessing.
