Sending a job card to your crew

A job card is the job the way your crew or subbie needs it: where to go, who to call, the work, the plan, the photos and documents like your SWMS. It shows nothing about your markup, and nothing you'd mind the client reading over their shoulder. Send it as a link, print it, or both.

Open the job card#

  1. Open the job.
  2. Switch to Job card. On a phone it's at the top of the job. On a computer it's the Job manage | Job card switch at the bottom of the screen.

You're looking at exactly what your crew will see. Their card also has Call, Text and Directions buttons, which your preview leaves out. Switch back to Job any time.

Choose what goes on it#

Point at a section (on a phone, it's always there) and tap Options. Untick Show this section to leave out anything they don't need. It stays on your screen as a dashed line with Add it, in case you change your mind. The rest of each section's choices are in the same menu.

To hide just one thing, tap it: a line, a note, a task, a photo or a document. Hidden things fold into a line like "2 lines not on the card". Tap Show to see them, then tap one to put it back.

Who to call. It starts with you: your name, business name, and the phone and email from your business settings. Tap Add someone for the builder's foreman or the site manager, with their title, company, phone and email. Tap anyone, you included, to edit their details or remove them from the card.

Site. The address, the map, the job's site notes (gate code, parking, keys) and the client's name, company, phone and email. Turn any of them off in Options if you'd rather your crew didn't deal with the client directly. Turn the client's name off and it comes off the whole card, the heading included: the card is headed with the site address instead.

Summary. The scope of work from the quote. If the quote has a note for the whole job, Show the quote's note adds it underneath.

Labour, Materials, Other and Subbie. The work the client agreed to, split by the type of each line, with quantities. Each has its own Options. Under Money display, pick what money shows, if any:

  • No prices: nothing about money. This is where every section starts.
  • PC and PS allowances only: just the allowances the client already agreed to, like tiles at $45/m². It only shows up in a section that has a PC or PS line.
  • Client prices: what the client pays for each line.
  • Your budget: what each line costs you, so the crew knows what they can spend. Anyone who sees this and knows the quote can work out your markup, so keep it for people you trust.

A line only ever shows one price, so no line shows both your price and your cost.

Show quantities shows how many of each (for labour, the hours, with totals for each part of the job). Show notes adds the notes from the quote. Read them first: notes you wrote for yourself go on too, and you can hide any one of them.

Materials reads as a pick-up list with SKUs, grouped by supplier when you've set them. Tick Group by estimate group to list them under the parts of the job instead. Subbie starts off, because its heading tells anyone reading that the work is subcontracted; turn it on if your crew needs to see it.

Schedule shows the plan's tasks and dates, and marks what's on now.

Photos. The photos you picked for the proposal go on first, marked-up ones included. The job's other photos are there to add.

Documents. Finished Flex documents (like a SWMS) and the plans in the job's folder go on. Draft documents and files uploaded to the quote start off, because an upload can be a supplier's quote with their prices on it.

Photos, videos and files you added to the job start off the card, so nothing you took for yourself goes to the crew by accident. Put one on from the card, or on the job page tap it and choose Put on the job card. Your crew can play a video on their phone. The PDF can't hold a video, so it says how many are on the link. Your changes save as you go.

  1. Tap Share.
  2. Tap Copy link, or Send… to send it by text, WhatsApp or email.

Anyone with the link can open the card on their phone without logging in. They can tap to call you, get directions, see photos full screen and read the documents.

Change the card after you've sent it and they'll see the change the next time they open the link. Above the card you can see how many times the link has been opened, and when.

Tap Download PDF. You get the card, its photos and its documents (your Flex documents and any PDF plans) in one file, ready to print. Your crew can download the same PDF from the link.

  • Share, then Turn off link: nobody can open it any more.
  • Share, then Get a new link: the old link stops working and you get a fresh one to send. Handy when a subbie has finished and still has the gate code.
  • When you close or cancel the job, its link stops working on its own, for good. If you reopen the job, share the card again to get a new link.

Good to know#

  • The work on the card is what your client accepted, plus any variations they've accepted (marked Added in V01). A variation that hasn't been accepted never shows.
  • If you change the quote after it's accepted, the card doesn't change. Put anything the crew needs to know in the job's site notes instead.
  • A job logged without a quote has no work to list. The card still shows the site, who to call, and the photos and plans in the job's folder.
