13 October Release — Jobs, Job Cards, Do-and-Charge + More
The AI estimator teammate in every tradie's pocket.
Morning, everyone.
Krishna here. Sammy started as your estimator. From today he's your teammate for the whole job: winning it, running it, sending the crew out and getting paid. A lot has landed, so this one has a lot to it: jobs with back costing, payment schedules, job cards for your crew, do-and-charge work, Sammy on every page, and more.
Quick note: we ship every day. This article covers the major stuff worth knowing about. If you're unsure how anything works, ask Sammy. He can walk you through it step by step.

Our co-founders and our sales lead take turns running through everything in this release, one feature after another, at full speed.

Won the job? Run it in Sammy#
When a client accepts your quote, Sammy now turns it into a job with its own number, like JN-0012. The job page holds the work you won: the site with directions and who to call, the contract, the plan, and what you've invoiced so far.
Back costing is built in. Add costs as you go, or upload a receipt and Sammy reads it for you, and the job shows what you've spent against what you quoted, section by section, so you can see a job running over while there's still time to act. When the client wants something extra, raise a variation from the job. Sammy prices just the change, your client accepts it like a quote, and it's added to the job and its budget.
You can also send the contract to be signed on your client's phone (every owner, if it's a jointly owned home), then counter-sign it yourself, and the signed copy stays on the job. Won quotes from before jobs arrived? Go to Projects → Jobs and tap Import quotes to turn them into jobs in one go.
Full walkthroughs: Running a job, Tracking what a job actually costs, Raising a variation and Getting a contract signed.
Agree how you get paid before you start#
On a bigger job you don't invoice in one go. Now you can put a payment schedule on the quote: a deposit, progress stages tied to things you can both see on site, and the balance. Tap Payment schedule on the quote's Proposal tab and pick a starting point, or tap Sammy written and he'll place the stages from the quote and your plan. Deposits start at 5%, under every state's limit.
Your client sees the schedule in the proposal and agrees to it when they accept. As each stage comes up, open the job, tap Claim under Claims, and the invoice for that stage is made for you. We promised this one last release, and it's here.
Full walkthrough: Payment schedules and progress claims.
Hand your crew the job, not your prices#
Every job now has a job card: the job the way your crew or subbie needs it. Where to go, who to call, the work, the plan, the photos, and documents like your SWMS. Open the job and tap Job Card in the switch at the bottom. Share it as a link that opens on their phone with no login, with Call, Text and Directions buttons, or tap Download PDF for one file to print.
The card shows no prices unless you choose to. Each section can show the PC and PS allowances, the client's prices or your budget instead, and materials read as a pick-up list with SKUs, grouped by supplier. Tap any line, note or photo to leave it off.
Full walkthrough: Sending a job card to your crew.
Do the work, then bill it#
Not every job starts with a quote. A client rings, something's broken, and you send a tech. Now you can log that as a do-and-charge job: tap + New, then Log a won job, and choose Do and charge. Write what the tech has to do (or dictate it), then send them the job card.
Your tech logs what they did from the card on their phone: a note or a voice message, their hours, the parts they used, and photos of the job and the docket. Sammy reads it into labour and materials lines at your rates. Check them, tap Approve, and when you're ready tap Invoice work done to bill everything approved, itemised. Crew updates work on your quoted jobs too, where they record your costs against the budget.
Full walkthroughs: Logging a do-and-charge job and Letting your crew log what they did.
Ask Sammy from any page#
Sammy isn't just in your quotes any more. Tap the round Sammy button in the corner of any page (or press ⌘J on a Mac, Ctrl+J on Windows) and ask him, typed or spoken, to find a quote, check what's overdue, add a cost to a job, file a receipt photo, start a new quote or write to a client. He can look things up on the web and read a link you paste, too.
He works with your real jobs, quotes, clients and invoices, and he knows which one you've got open, so "this job" just works. Anything that sends or changes something important waits for your OK first.
Full walkthrough: Asking Sammy anywhere in the app.
Smaller bits worth knowing#
- Attach your own documents to a quote. Add your terms, a warranty, plans or a SWMS as PDF or Word files, and they go to the client inside the proposal PDF or as separate attachments. Guide: Adding documents to a proposal.
- New Completion Report Flex document. When a job's done, you can have Sammy write the report from the job's own record, add your photos, and send it to the client as a PDF. Guide: Sending a completion report.
- Photos and files on every job. Add photos, videos and documents straight to a job, with captions and markup. Guide: Adding photos, videos and files to a job.
- Pictures in Flex documents. Add rows of photos to a SWMS or report, picked from the job's own photos. Guide: Adding images to Flex documents.
- Xero marks invoices paid for you. When a client pays an invoice in Xero, it turns Paid in Sammy on its own.
- Start a quote over in one sentence. Tell Sammy "delete this and set it out as option 1" and he rebuilds the quote from the new brief, keeping only the lines you've locked.
- Copy yourself on what you send. Tap Cc yourself when you send a proposal, or turn on Cc yourself when you send under Settings → Business to copy yourself on every quote and invoice.
- Message a client from anywhere. Start a new message from Messages or a client's page, and write it yourself or with Sammy. Guide: Sending a message to a client.
- Easier team moves. Owners and admins can bring a member's earlier quotes and clients into the team, and the invite page now names the team you're joining. Guide: Setting up a team.
- Quicker contacts. Add a contact straight from the Clients list: tap + New, then New contact, and choose the client.
- A new help centre. help.withsammy.ai has a fresh look, greets you by name, and has Sammy built in to answer questions about your own account.
All of this is included in your current Sammy package. No price increase, no bullshit. We think it's the best deal in the industry.
That's the lot for this one. As always, tell us what you need. We read every email, and we'll pick up the phone and listen.
Cheers, Krishna
